Basic event settings

Start of with your basic settings such as the event title, location and dates. Fill in the location’s Google Maps coordinates and the participants can even arrange their own route descriptions.

Define items

Adding different items to your registration page makes it possible for attendees to personalise their registration. Use categories such as student, speaker or invitee, add different fee types, let participants choose these sessions they wish to attend or have them indicate their presence at the social events. You can fully customize the registration form to your event. All items can be visible on the registration form during a particular time, for example to handle early bird fees. It is also possible to set a maximum per item. When the maximum number is reached the item disappears or a text will show. Above this, items can be related to each other. When a participant chooses one item another can be removed or shown.

Collect payment

You can easily collect registration fees or other payments from your participants. Set the prices and define the VAT percentages. There is no limit to the number of VAT percentages. An invoice is automatically send after registration. Payments can be handled online by Edison. More information concerning costs click here.

Preview and send invitations

Make sure people know about your event. Invite participants of previous events and or make an excel export of a database with members and send them an invitation. Use as much data as you can and make sure you get your message out there. Imported data is pre filled which makes the registration for your invitee easy and fast.

Before sending invitations the user is able to style the invitation first. Write the invitation text and add logo’s. Make it a good-looking HTML mail. After you upload your excel file with contact data, preview the invitation to make sure everything is mentioned exactly how you want it. Simply press "send" and all your invitees receive their personalized invitation in their mailbox.

Accept invitations

The invitation contains a personal pin code and a URL to the registration page. Once an invitee clicks on the link, the information page of the event opens up. If the invitee decides to attend the event the pin code should be used to login. By using this pin-code their contact data is pre-filled on the registration form. After registration the status invitee is changed into attendee. Therefore the user keeps a solid overview between invitees, cancelled and attendees.

Decline invitation

An invitee who is not able to attend the event can easily decline the invitation. The invitee is able to inform the user what the reason is forabsence. After declining the status invitee is changed into cancelled. Therefore the user keeps a solid overview between invitees, canceled and attendees.

Edit registered data

After someone has registered the organizer can add or adjust all registered data on an individual level. The same thing with chosen items for sessions or social program events. It is also possible to add data for your own record which is not visible for the participant.
Another way for dealing with changes is allowing attendees to modify their own registration. Users can choose to send a unique pincode to every attendee after registration. By using this pincode the attendee can change the completed registration. This option can be switched off at all times.


Next to invitations, confirmations, invoices, reminders and a lot of other messages which are available in Edison’s default, users are able define their own messages. For example, an email that should be send to all attendees informing them about program changes. Or a message to a single attendee requesting more information about a certain matter.
There is no limit to the number of messages created.

Export data

All registered data can be exported to different excel files. These exports provide great overviews of attendees, chosen items per attendee, scanned e-tickets, financial overviews and more.

Drag 'n Drop

A registration in Edison always starts with 3 standard fields: First name, laste name and email address. These fields are required to create a unique participant.  The rest is up to the user. Select fields for general contact data, social media data or company data or define your own. For example, ask questions and prefill answers in a dropdown or using radio buttons.


Edison is to be set-up in Dutch or English. Choose your default language and manage the translation to Dutch or English later.
A clear country flag on top of the registration form will become visible which allows the attendees to switch languages easily.

Create voucher/discount codes

Manage discounts by creating codes for participants that should pay less for their participation. A user can create different types of codes that gives a deduction on the total costs. For example a code with 20 EUR discount and another code with 50 EUR discount. Codes can be created in a way that it can be used once or multiple times.

Upload Excel files

Send one invitation or send multiple ones. Edison allows users to fill an excel template with contact data. Edison looks at your registration form and asks only to fill the template with data that you have available. The invitation itself and how it looks can be modified by defining the text and logo’s. Imported data is merged into the invitation, resulting in personal invitations for everyone. There is no limitation to the number of invitations that you send and it is free of charge.

Add people manually

Besides online registrations made by the attendees themselves, users are able to register their contacts manually. Very useful for the registration of invited speakers and staff. No need to bother these people to register online and still have all registration data in one place.

Delete attendees

If an attendee decides not to participate the user can delete attendees in a second. After receiving an email or phone call users can switch to the attendee an easily cancel its registration. After cancellation, the status of the registration is changed to “canceled”. If, for any reason the data needs be restored, it can be done in seconds as well.

Send invoice reminders

If payments are applicable, Edison sends invoices automatically to every attendee after registration. Attendees receive a PDF invoice attached to their confirmation. The layout of the invoice can be set up by the user. Text, font types, colors, logo’s and bank account details can be defined per project. Received payments can be processed manually per attendee. In case invoices remain unpaid the user can send out payment reminders.
If the user decides to accept online payments the attendee can pay online after registration is completed.

Send e-tickets

Think about how you would like to handle the participant flow during your event. Edison can send E-tickets to participants that have registered automatically after finishing a registration. Per email as a PDF attachment. Participants print the E-tickets themselves and onsite the barcodes can be scanned. A very easy and efficient way to always know who is present.

Scan tickets

If the e-ticket functionality is activated attendees receive an e-ticket as a PDF attachment after finishing their registration. The e-ticket can be printed and brought to the event at which the barcodes is scanned. The Barcode scanners should bebe connected to a computer with Edison running. This way you know who is present and who is not.

Print badges

With the butterfly badge as a default, users can create their own badges. Exporting almost everything, users are free to style the badge in the best possible way. Inserting logo’s, text, font-types and colors.

The butterfly badges can be pre-printed and distributed behind a registration desk during the event.
